ROUL Media ("ROUL Media", "we", "us", "our") respects your privacy. This policy explains how we collect, hold, use and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to our website, our email correspondence, and the event photography and videography services we provide across Sydney.
1. What We Collect
We only collect information that is reasonably necessary to run our business. This may include:
- Contact details you give us directly — name, email address, phone number — when you enquire about a booking
- Event details you provide — date, venue, event type, and any notes you share with us
- Photographs and video footage captured at the events we are engaged to shoot (see our Photo & Video Consent Policy for detail on how this is handled)
- Basic technical/analytics data generated by visiting our website, via Microsoft Clarity once you accept our cookie notice (see our Cookie Policy)
We do not knowingly collect sensitive information, and we do not require you to provide more than the minimum needed to respond to your enquiry.
2. How We Use It
We use personal information to:
- Respond to enquiries and manage bookings
- Deliver, edit and share the photo/video content we produce for a client's event
- Promote our work — for example on our website, portfolio, or Instagram — where we have a reasonable basis to do so under our Photo & Video Consent Policy
- Meet our legal and accounting obligations
3. Photos & Video Captured at Events
Because our work involves photographing and filming people at nightlife venues and events, a specific policy governs how consent is obtained, how footage is used, and how someone can request that they not be featured. Please read our Photo & Video Consent & Usage Policy, which forms part of this Privacy Policy.
4. Disclosure to Third Parties
We do not sell personal information. We may share information with:
- The client who engaged us for the event, where relevant to delivering the work
- Service providers who help us operate — such as cloud storage, email providers, or Microsoft Clarity for website analytics — bound to keep information confidential
- Authorities, where required by Australian law
Microsoft Clarity may process and store website analytics data on servers located outside Australia. Where personal information is disclosed overseas in this way, we take reasonable steps consistent with APP 8 to ensure it is handled in line with the Australian Privacy Principles.
5. Storage & Security
Personal information and event footage are stored using reasonable technical and organisational safeguards, and are retained only as long as reasonably necessary for the purpose they were collected — typically the duration of a client relationship plus a limited period for portfolio and record-keeping purposes.
6. Access & Correction
You may request access to, or correction of, personal information we hold about you, or ask us to remove you from marketing communications, by contacting us using the details below. We will respond within a reasonable time.
7. Complaints
If you believe we have mishandled your personal information, please contact us first so we can resolve it directly. If you remain unsatisfied, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
8. Changes to This Policy
We may update this policy from time to time to reflect changes to our practices. The "last updated" date above shows when it was last revised.
